Introduction

Ironbooks Financial Ltd. ("Ironbooks," "we," "our," or "us") is a professional bookkeeping and financial reporting firm based in Saskatoon, Saskatchewan, Canada. We are committed to protecting the privacy of our clients and website visitors in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), The Freedom of Information and Protection of Privacy Act (Saskatchewan), and other applicable privacy legislation.

This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and your rights regarding that information. It applies to all services provided by Ironbooks, including our bookkeeping services, financial reporting, Ironbooks software and dashboards, AI-powered tools and summaries, and our website at ironbooks.com.

Information We Collect

We collect and process the following categories of information in connection with our services:

2.1 Client Identification and Contact Information

  • Full name, business name, and legal entity name
  • Email address, phone number, and mailing address
  • Job title or role within the business

2.2 Financial and Business Information ("Client Data")

  • Bank account and credit card transaction records (via connected platforms)
  • Accounting records, invoices, receipts, and expense documentation
  • Revenue, payroll, and tax-related data
  • Chart of accounts, general ledger entries, and journal entries
  • Financial statements, including Profit & Loss and Balance Sheet reports

2.3 Payment Information

  • Credit card details (number, expiration, CVV, billing address) for recurring billing
  • Payment history and invoicing records

2.4 Platform and System Access Data

  • Login credentials or access tokens for third-party platforms (e.g., QuickBooks Online, Wagepoint, Gusto) provided to Ironbooks for service delivery purposes
  • Usage data from the Ironbooks software, dashboards, and AI tools

2.5 Communications

  • Emails, messages, and correspondence between you and Ironbooks
  • Notes from onboarding calls, check-ins, and coaching sessions

2.6 Website and Technical Data

  • IP address, browser type, device information, and operating system
  • Pages visited, referring URLs, and session duration
  • Cookies and similar tracking technologies (see Section 10 below)

How We Use Your Information

We use the information we collect for the following purposes:

  • To provide professional bookkeeping, reconciliation, and financial reporting services
  • To generate monthly financial statements, summaries, and reports (including AI-generated outputs)
  • To process payments and manage your billing account
  • To communicate with you about your account, deliverables, and service updates
  • To onboard you and provide access to the Ironbooks software, dashboards, and tools
  • To operate, maintain, and improve our internal systems, software, and AI models
  • To create aggregated, anonymized, or de-identified data for internal analytics, benchmarking, and product development (this data does not identify you or any individual)
  • To comply with legal and regulatory obligations
  • To enforce our agreements, including our Client Engagement Agreement

Artificial Intelligence and Automated Processing

Ironbooks uses artificial intelligence tools to generate financial summaries, insights, and dashboard analytics for clients. These AI-generated outputs are provided as supplementary tools to support your understanding of your financial data and are subject to periodic human review.

Important: AI-generated summaries, insights, and dashboards may be inaccurate or incomplete and are not a substitute for professional judgment. You remain responsible for reviewing your financial information and for all business decisions made based on any deliverables or AI-generated outputs. Ironbooks does not guarantee the accuracy, completeness, or fitness for purpose of any AI-generated output.

Your Client Data may be processed by AI systems solely to deliver these features. We do not sell or share your financial data with third-party AI providers for their own purposes.

When We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

5.1 Service Providers

We share information with trusted third-party service providers who assist us in delivering our services (e.g., cloud hosting, payment processors, software platforms). These providers are contractually required to protect your information and may only use it for the purposes we specify.

5.2 Painter Growth Program

If you participate in a Painter Growth coaching program, we may share your monthly financial statements with your assigned Painter Growth coach for coaching purposes only. We do not share banking credentials, platform login information, or raw transactional data with Painter Growth.

5.3 Third-Party Software Platforms

To deliver our services, we access and use the following platforms on your behalf:

  • QuickBooks Online — for accounting and bookkeeping
  • Wagepoint or Gusto — for payroll synchronization (where applicable)
  • Ironbooks Software — for dashboards, reporting, and financial analysis

You are responsible for your own subscriptions and compliance with the terms of these third-party platforms. Ironbooks is not responsible for the privacy practices of third-party services.

5.4 Legal and Regulatory Requirements

We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

5.5 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of substantially all of our assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have regarding your information.

Data Retention

We retain your personal information and Client Data for as long as your account is active, or as needed to provide you with our services. After termination or expiration of your engagement:

  • We will provide you with any final deliverables completed as of the termination date.
  • We may retain records as required by applicable tax, accounting, and legal obligations (typically a minimum of seven years for financial records in Canada).
  • Aggregated or de-identified data that does not identify you may be retained indefinitely for analytics and product improvement.

When personal information is no longer required, we will securely delete or anonymize it.

Data Security

Ironbooks maintains reasonable administrative, technical, and physical safeguards designed to protect your personal information and Client Data from unauthorized access, disclosure, alteration, or destruction. These safeguards include:

  • Encrypted data transmission (TLS/SSL) for all web-based communications
  • Access controls limiting employee and contractor access to Client Data on a need-to-know basis
  • Secure cloud infrastructure with reputable hosting providers
  • Regular review of security practices and incident response procedures

While we take commercially reasonable measures to protect your data, no method of transmission over the Internet or electronic storage is completely secure. We cannot guarantee absolute security.

In the event of a data breach involving unauthorized access to your personal information, we will notify you within a reasonable timeframe and in accordance with applicable law, including PIPEDA's breach notification requirements.

Your Rights

Under PIPEDA and applicable Canadian privacy law, you have the following rights:

Right of Access: You may request access to the personal information we hold about you.
Right of Correction: You may request that we correct any inaccurate or incomplete personal information.
Right to Withdraw Consent: You may withdraw your consent to the collection, use, or disclosure of your personal information, subject to legal or contractual restrictions. Withdrawing consent may affect our ability to provide services.
Right to Complain: If you believe your privacy rights have been violated, you may file a complaint with the Office of the Privacy Commissioner of Canada (www.priv.gc.ca) or the Saskatchewan Information and Privacy Commissioner (www.oipc.sk.ca).

Additional Information for U.S.-Based Clients

If you are a client based in the United States, your personal information is stored and processed in Canada. By engaging Ironbooks, you consent to the transfer, storage, and processing of your data in Canada. Canadian privacy law, including PIPEDA, provides robust protections for personal information that are comparable to or exceed many U.S. state-level privacy frameworks.

If you are a resident of a U.S. state with specific consumer privacy rights (e.g., California, Colorado, Virginia, Connecticut), you may have additional rights under those laws, including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information.
